1. Operator and scope
YC Study is operated by Yuanchen Limited.
This policy applies to the YC Study website, advisor communications, and the document-submission and service-delivery channels agreed with you. Universities, payment providers, communication services and other third parties also apply their own privacy rules.
2. Information we may collect
Education, grades, language level, application goals, budget range, consultation content, contact details and booking information that you choose to provide.
Transcripts, education certificates, passport information, references, personal statements and other documents needed to assess and carry out an application, together with access and incident records needed to protect the service. We collect only what is needed for the relevant service.
3. Application documents and sensitive information
The private document area in your student account lets you upload and manage files for advisor review. Uploading is voluntary. A transcript is usually the most useful document for an initial assessment, but a passport, transcript or any other file is not required to book an advisor. You may mask unrelated information, upload only part of a document or upload nothing for now. Uploading does not submit an application to a university.
Documents are used only for consultation, background assessment, document review, application submission, exam or interview preparation, and related services you choose. Access is limited to authorised staff and providers with a genuine work need. Files are not sent to general-purpose AI models and are not used to train them.
4. Why we use information
To provide consultation, prepare a written application plan, perform the contract, handle documents and applications, arrange training or communication, track outcomes and answer your requests.
To protect accounts and services, improve service quality, and meet accounting, dispute-resolution and other legal obligations. We do not sell personal information or use it to build third-party advertising profiles.
5. Sharing, universities and AI
To deliver your chosen service, we may share necessary information with target universities, exam or application platforms, translation and document providers, payment or communication providers, and advisors working on your case. We ask before submissions beyond what the contract requires.
AI may help organise questions and public information, but an advisor confirms key application judgements. Sensitive application documents such as passports and transcripts are not used to train general-purpose AI models, and AI alone does not decide eligibility or service outcomes.
6. Retention and deletion
You may delete an uploaded file or request account deletion. Application documents may be kept during the relevant service and are deleted within 90 days after the service ends or you ask us to delete them. If law, contract, payment records or a dispute requires longer retention, we keep only the minimum necessary record; this does not mean keeping passport or transcript source files indefinitely when they are no longer needed.
Backup copies may remain for up to 30 additional days after the primary deletion deadline. Minimum contract, transaction and audit records may be retained for the applicable statutory period.
7. Your rights and choices
You may ask to access, correct or delete personal information, withdraw consent-based processing, or ask how information is used and who receives it. Deleting some information may prevent us from continuing the relevant service.
Email info@ycstudy.com with enough information for us to verify the request. We respond within a reasonable period and any period required by applicable law.
8. Security, minors and contact
We use access controls, least-privilege practices, transmission safeguards and provider management to reduce the risk of misuse, loss or unauthorised access. Submit sensitive files through the private document area in your student account; do not paste passport numbers or unmasked sensitive material into an AI chat.
If you are below the legal age of adulthood where you live, we recommend talking with a parent or legal guardian before submitting documents or purchasing a service. We update the date and text when this policy changes materially. Contact info@ycstudy.com with any questions.
